Understanding the Conversion Report

As an Admissions professional, you work hard to ensure you are enrolling the right students in the right programs for your school. Each step in the enrollment cycle is important as prospective students decide if your school can help them achieve the future they have always dreamed of for themselves and for their families.

The Conversion Report helps your school understand what strategies, lead sources, programs, and even Admissions Representatives are most likely to help prospective students become active students.

To ensure your Admissions efforts are properly reflected in the report, keep the following in mind:

  • The Conversion Report is based on lead status changes, Lead to Contacted, Contacted to Appointment Set, Appointment to Interviewed, Interviewed to Enrolled, Enrolled to Active, etc.

  • Conversion metrics are attributed to the Admissions Representative on record at the time of the effective status change so prior to each conversion activity, ensure that the lead record is formally assigned to you.

  • Certain activities/events/actions trigger a change in status from one turning point to the next, as follows:

Lead to Contacted:

  • The lead status automatically updates when the Contact status is selected after the call.

  • The Contact status can also be manually selected from the Lead Status dropdown menu.

  • If a call is made outside the system or an inbound call is received, the disposition can be added to the record from the Contact Status dropdown.

Contacted to Appointment

  • The same steps above apply. Select the Appointment Scheduled CCD from the popup dropdown to automatically change the status to Appointment Scheduled.

  • The status is also automatically updated when an appointment is created and added to the calendar.

  • If a call is made outside the system or an inbound call is received, the disposition can be added to the record from the Contact Status dropdown.

Appointment to Interviewed

  • The lead status automatically updates to Interviewed when the appointment status "Show" is selected.

  • Manually update the status from the Lead Status dropdown as shown in the above screenshot.

Interviewed to Enrolled

  • Enrollments are entered into Anthology based on a completed enrollment file being submitted by Admissions to the Front Desk or to Administration. Ynot uses Anthology data to update the Ynot record to Enrolled. Records may be updated through an automated or manual process.

  • It is important for Admissions to ensure that the Admissions Representative, Program of Study and Start Date are accurate on the Ynot record before the Enrolled status is updated.

The Conversion Report can be run by conversion date (all conversions in the period from all lead dates) or by lead date (conversions in the period only from leads in the period)
